Event Booking & Invoice Terms

These terms are incorporated into and form part of your invoice and event agreement.

This Event Booking & Invoice Terms Agreement (“Agreement”) is entered into between Moose Coffee Company (“Company”) and the Client identified on the applicable invoice (“Client”). Payment of the initial deposit constitutes the Client’s acknowledgment and acceptance of these terms.

01 Event Information Is Locked Upon Deposit

Once the initial deposit is received, all event information listed on the invoice is considered confirmed and locked in, including, but not limited to:

Any changes to information listed on the invoice must be approved in advance by Moose Coffee Company management. The Company reserves the sole discretion to approve or deny requested changes. Approval of one requested change does not constitute approval of any other change.

02 Non-Refundable Payments

All payments made toward the invoice are strictly non-refundable, including the initial deposit, partial payments, additional payments, final payments, and payments for upgrades or additional services. Payments will not be refunded due to cancellation, postponement, reduction in guest count, change of plans, change of venue, or any other reason, except where a refund is expressly required by applicable law.

03 Venue Requirements & Electrical Access

The Client and/or venue is responsible for providing a suitable event environment and ensuring that the venue can accommodate the Company’s equipment and service requirements.

Required before your event Moose Coffee Company requires a minimum of two (2) separate, properly functioning electrical outlets/circuits to operate the event equipment. The outlets must be accessible, operational, and suitable for the Company’s equipment. The Client is responsible for confirming with the venue before the event that the required electrical access is available.

If, upon arrival, Moose Coffee Company determines that the venue does not have sufficient electrical access, suitable outlets, or the necessary conditions to safely operate the equipment, the Company will not be responsible for delays, reduced service, inability to operate certain equipment, or inability to provide portions of the contracted service resulting from those venue conditions.

04 Electrical Issues and Venue Conditions

Moose Coffee Company is not responsible or liable for electrical occurrences originating from or caused by the venue’s electrical system, including power outages, tripped breakers, electrical surges, insufficient electrical capacity, faulty outlets, improper wiring, venue electrical failures, or electrical interruptions caused by other vendors or venue equipment.

The Company will make reasonable efforts to resume service when conditions permit; however, the Company does not guarantee uninterrupted service when interruptions are caused by circumstances outside of its control.

05 Event Delays Caused by Venue Conditions

If the venue provided for the event is unable to accommodate Moose Coffee Company’s operational requirements upon arrival, including required electrical access, adequate space, safe access, or other previously communicated requirements, Moose Coffee Company will not be liable for delays caused by those venue conditions.

Any resulting delay may reduce the amount of time available for service, and the Company will not be required to extend the contracted service period at no additional charge. If additional time or accommodations are possible, they may be provided at the Company’s discretion and may be subject to additional charges.

06 Venue Responsibility

The Client is responsible for communicating the Company’s event requirements to the venue and obtaining any necessary venue approvals before the event. The Client is also responsible for ensuring that the venue permits the Company to operate and that the Company’s equipment can be safely brought into, set up within, and operated at the venue.

07 Company Discretion & Safety

Moose Coffee Company reserves the right to refuse or discontinue any portion of its services if the Company determines that conditions are unsafe, hazardous, or reasonably likely to cause damage to its employees, equipment, or property.

The Company will not be responsible for failure or delay in providing services resulting from circumstances outside of its reasonable control, including venue restrictions, power failures, unsafe conditions, natural disasters, government restrictions, or other force majeure circumstances.

08 Agreement to Terms

Payment of the initial deposit constitutes the Client’s acknowledgment that they have reviewed and agreed to these Event Booking & Invoice Terms. These terms are incorporated into and form part of the Client’s invoice and event agreement with Moose Coffee Company.
